Who this covers
This policy explains how Clearform Studio collects, uses, stores and discloses personal information. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
What we collect from website visitors
When you submit an enquiry we collect your name, business name, email address, phone number, trade and service area, plus anything you choose to write in the message field. We do not run advertising trackers or third-party profiling on this website.
What we collect from clients
If you engage us we also hold your business address, billing details, logo and brand files, photographs, website content, and login credentials for services we manage on your behalf such as your domain registrar, Google Business Profile, analytics and advertising accounts.
Why we collect it
Solely to respond to your enquiry, prepare a quote, deliver the work you have engaged us for, invoice you, and provide support. We do not sell, rent or trade your information, and we do not use it for marketing to anyone other than you.
Who else handles your information
Netlify hosts our websites and processes form submissions. Google provides Analytics, Search Console, Business Profile and Ads. Meta provides advertising services where you have engaged us to run them. Stripe processes payments and we never see or store your full card or bank details. Anthropic and similar AI providers may process project content where it assists us in drafting copy or reports; we do not send them credentials or payment information.
Where it is stored
Some of these providers store data outside Australia, including in the United States and the European Union. By engaging us you consent to that overseas disclosure. We only use providers with published security and privacy practices.
Credentials and access
Where you give us access to your accounts, we use individual logins in your name wherever the platform allows it, rather than sharing passwords. Credentials are stored in an encrypted password manager. When our engagement ends, we remove our access and confirm in writing that we have done so.
How long we keep it
Enquiry details are kept for 12 months if they do not become a project. Client records are kept for the duration of the engagement and for 7 years afterward, which is the retention period Australian tax law requires for business records. You can ask us to delete anything not covered by that obligation.
Your rights
You can ask for a copy of the information we hold about you, ask us to correct it, or ask us to delete it. Email us and we will action the request within 30 days at no charge. If we cannot action it we will explain why in writing.
Data breaches
If a data breach occurs that is likely to result in serious harm, we will notify you and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme, and we will tell you what happened and what we are doing about it.
Cookies
This website does not set marketing or tracking cookies. Netlify may set essential cookies required for security and form spam prevention. Websites we build for clients may use analytics cookies where the client has asked for them, and those sites carry their own notice.
Complaints
If you are unhappy with how we have handled your information, contact us first and we will try to resolve it. If you are still not satisfied you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
